Project Coordinator

We are seeking a talented and detail-oriented Project Coordinator with a minimum of 2 years’ experience supporting multifaceted projects with moving parts. In this client-facing role, you'll collaborate closely with our experienced Project Managers, design consultants and builders, necessitating exceptional customer service skills and consistent communication.

Otak CPM serves as an independent advocate for the owner. Our all-inclusive work allows clients to focus on their own priorities, while we take care of the rest. Being familiar with everyone from engineers to manufacturers, we keep the project aligned, in-sync and running smoothly. As an additional set of eyes and ears between the design team and builders, we successfully manage our client’s budget, scope, and time.

What you'll do:

  • Directly support a Senior Project Manager with coordination of work performed by a project team on behalf of multiple clients throughout the construction project lifecycle.
  • Maintain project documentation and filing including verification of invoices, capturing meeting minutes and correspondence, adding design/constructability review comments to drawings and specification documents, preparing/submitting funding and jurisdictional requirement documents, and disseminating materials to clients and project team.
  • Maintain project master budget and review GC pay applications for compliance with Contract & SOVs.
  • Add value to projects by bringing unique skills and talent for project management, business administration, problem solving, spreadsheet management, technology, field coordination, and stakeholder engagement.
  • Participate in the development of client’s construction design / programming guidelines to inform project goals and outcomes; collaborate closely with client’s executive, accounting, legal and other associated departments to ensure efficient processing of project documents / decision making; coordinate and participate in client review meetings to keep stakeholders informed and engaged.
  • Coordinate scopes of work and procurement / solicitations for contracting with design consultants and builders; maintain effective working relationships with team for steady flow of work and communication; analyze consultant reports and builder documentation as assigned by the Project Manager.

What you'll bring:

  • Associate's Degree in Construction Management, Business Administration, Accounting or related area is required. Bachelor's degree is preferred.
  • Minimum 2 years' experience in project management or business administration. Knowledge of building design / construction systems and experience supporting large capital projects from design through construction / closeout strongly preferred.
  • Possess a collaborative, proactive and comprehensive approach to problem solving and engaging with teams and diverse networks of stakeholders.
  • Strong technology, organization and communication skills.
  • Demonstrated experience in Microsoft Office Suite is required; ability to compile and analyze data, manage budget documentation and review contracts. Experience with Bluebeam Revu and project management systems such as E-Builder, Prolog, Primavera, Smartsheet, and SharePoint highly preferred.
  • Ability to travel to co-located environments at client sites.

The salary information shown below is a general guideline only. Salaries are based upon candidate experience, qualifications, and work location as well as market and business considerations.

Salary Range: $33-$43 per hour
